Privacy Policy

Last updated: May 26, 2026

This Privacy Policy explains how Aprism (“Aprism”, “we”, “us”) collects, uses, and protects information when you use our lead-intelligence platform (the “Service”). By using the Service you agree to the practices described here.

Information we collect

  • Account information — your name, email address, and authentication details when you sign up or sign in (including via Google).
  • Workspace & lead data — the leads you send to Aprism (e.g. contact names, emails, phone numbers, web-form submissions, email bodies, and call transcripts) and the analysis we generate from them (scores, summaries, tags).
  • Usage data — operational logs and metrics such as request counts and timestamps, used to run, secure, and meter the Service.

How we use information

  • To provide the Service: ingesting, analyzing, scoring, and routing your leads, and delivering them to integrations you configure.
  • To operate, secure, and improve the platform, and to meter usage against your plan.
  • To communicate with you about your account, security, and support.

Lead data and your role

For the lead data you submit, you (the workspace) are the controller and Aprism acts as a processor on your behalf. You are responsible for having a lawful basis to collect and share that data with us. We process it only to provide the Service to you.

Service providers

We use a small number of third-party providers strictly to run the Service — hosting, the database, sign-in, AI for scoring/tagging, and transcription for call recordings. Inputs sent to our AI providers are not used to train their models. See our sub-processors page for the plain-English version, and email us for the named provider list if you need it for a vendor review.

When you connect a CRM or workflow destination, Aprism sends leads to the place you chose — that destination is governed by your agreement with that provider, not ours.

Data retention & deletion

We retain workspace and lead data for as long as your workspace is active. Workspace owners can permanently delete a workspace and all of its data from Settings, or contact us to request deletion. Backups are purged on a rolling basis.

Security

We use industry-standard safeguards including encryption in transit, tenant isolation enforced at the database layer, encrypted integration credentials, and optional two-factor authentication. No method of transmission or storage is completely secure, but we work to protect your data.

Your rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal information. Contact us at info@aprism.ca to exercise them.

Cookies

We use strictly necessary cookies for authentication and to remember your preferences (such as theme). We do not use advertising cookies.

Changes

We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above.
